In May 2014, CSL selected Lengnau in the Canton of Bern in Switzerland as the location of a new manufacturing facility to support the commercial production of our promising novel therapies.

The CSL Behring Recombinant Facility (RCF) in Lengnau is part of CSL’s ongoing global expansion strategy to support the company’s long-term growth plans.

The new plant in Lengnau with its highly advanced facilities will manufacture innovative and promising therapeutics with the aim to enhance the quality of the patient’s lives.

One of the main products will be a recombinant coagulation factor to treat hemophilia B patients.

The Lengnau site project generates an investment of approximately a billion Swiss Francs and will create around 300 new jobs when it is fully operational.

We are looking for an experienced

Executive Assistant, Office Management Team Leader (F / M) 100%

The position holder organizes and coordinates administration duties and office procedures as well as supervises the executive assistants team in the execution and delivery of daily duties.

He / She will act as executive assistant to the Site Head of CSL Behring Lengnau.

Main Responsibilities and Accountabilities :

Site Head support

  • Supports the Site Head in the execution of administrative duties such as travels, schedule and organization of meetings, minutes, management of stakeholders, etc.
  • and executes any additional administrative tasks that might be assigned by the Site Head.
  • Participates to management meetings, such as the Lengnau Leadership Team Meeting and ensures meeting minutes, action lists and decision logs are prepared
  • Coordinates the site monthly and bi-monthly reporting to company’s GLG
  • Office Management

  • In close collaboration with Facility Services, Procurement and other relevant stakeholders, oversees general office duties, including ordering supplies, maintaining records, management of database systems, book keeping, external office and reception services
  • Manages travels for the site and acts as reference point of contact for the global travel organization
  • In close collaboration with Facility Services coordinates and acts as point of contact with internal and external peers in the organization of meetings and visits on and off-
  • site, including venue, ad hoc equipment, cleanliness, catering and communication .

  • Is responsible for the management of the local mobile devices inventory and oversight processes
  • Coordinates and executes the administrative training for the new joiners, making sure that the content is always up to date and corresponds to the needs of the customers
  • Team Coordination

  • Coordinates the executive assistants team in the execution of their duties, according to the agreed objectives and promoting and ensuring relevant tasks delegation as well as timely and quality delivery
  • Coordinates the presence on site of the executive assistants team ensuring continuity of support to the business.
  • Coordinates training needs for the executive assistants team, ensuring each member of the team is always up to date whenever new administrative processes are launched
  • Position, Qualifications and Experience Requirements :

    Education

  • Commercial Education (KV) or equivalent required
  • Executive Assistant Diploma or equivalent ideal
  • Excellent knowledge of German and English, any other language is a plus
  • Experience

  • Proven experience as Executive Assistant in a global organization (at least 3 years), idealy at Site Head / GM level
  • At least one previous experience including Office Management duties
  • Team coordination experience a plus
  • Advanced knowledge of Word and Powerpoint, intermediate in Excel and Visio a plus.
