Job Description Summary
Provides a full range of secretarial / administrative support to the HRLT members
A visible role requiring uppermost level of confidentiality, discretion, professionalism and flexibility
Supports HRLT members including diary management (organizing meetings, interviews and calls and any rescheduling as required)
Preparation and submission of travel expense reports.
Create Purchase Requisitions, Purchase Orders and track invoices and costs against the PO, extending where necessary or requesting additional PRs if needed; maintain files
Provides general HR administrative support to the department as requested.
If not other decided acts as substitute of Assistant to CHRO during absence
Uses own independent judgment and discretion to perform other administrative duties within generally defined policies and practices and supports the LT
Set up SharePoint pages and administrate them.
Set up Onboarding's for new team members
Perform other duties as assigned
1-4 years of experiences
Required language skills : English, German
Can-do attitude and highly motivated to do the best job
Happy to multi-task and deal with changing priorities and a demanding workload
Significant experience of supporting busy senior executives
Working experiences in a large and complex matrix organization
First class communication skills written and oral
Ability to build strong and trusted relationships with internal and external contacts
Must be a good team player
Capable of tact, diplomacy, flexibility, and the highest level of confidentiality and professionalism in all interactions
Consistently delivers highly accurate and timely work
Being able to reflect on own self leadership
Advanced proficiency in Outlook, Word, PowerPoint, Excel and understanding of SAP, Skype, SMS, Lync and SharePoint. Knowledge of workday would be an advantage
