This role administratively supports Key Executives with heavy international travel schedule. You are responsible for the effective and efficient day-to-day planning of the Executives Agenda, Meeting and Travel.

In that context, the position owner ensures seamless meetings and administers them in cooperation with other Executive Assistants and stakeholders.

The good and fruitful cooperation with people in the global organization is key. You are pro-active, manage the priorities of your duties independently and ensure first class administrative support.

You are open to supporting areas outside of your own area of responsibility.


  • Support time management : Update and communicate agenda Anticipate all elements of agenda planning (eg. mail, reading, preparation, travel to airport) Assess priorities, manage conflicts and balance the daily appointment list Include informational items in agenda as defined
  • Support mail management : Collect, open, deposit mail Prepare mail for review as defined
  • Organise meetings : Assume responsibility for administrative success of meetings availability and attendance of participants accurate and timely communication successful meeting logistics (location, materials, equipment, refreshment) success of ancillary logistics (e.
  • g. transport to airport, change of flight arrangements, emergency contacts transfer of messages / documents)

  • Travel planning and implementation : Proactively optimise travel plans according to agenda, policy, preference and cost Arrange travel logistics with travel office Ensure preparation of correct travel documents Ensure accurate / timely communication of travel arrangements
  • Expense reporting : Collection of expense reports supporting documentation Complete / submit expense reporting min. twice per month Log travel and expense reports submitted and balance payment

  • Requirements

  • Diploma in Business Administration (KV) or Executive Assistant, Federal Diploma or equivalent
  • Minimum 10 years of experience in supporting a Key Executive (CEO,VP) in an international environment
  • Excellent oral and written communication skills in German and English
  • Excellent administrative, planning and organizational skills with high quality believes
  • Highly developed interpersonal skills
  • Flexible, can do and service-oriented personality
  • Communicates with ease with people from different levels
  • Able to work under pressure
