The Administrative Assistant reports to Executive Assistant / Office Manager based in Schaffhausen office EMEA Headquarter.
Duties & Responsibilities
First contact for different belongings of employees, Managing Directors, external and internal stakeholders
Reception and mail : welcoming / subscribing all visitors, handling mail and courier services
Coordination of all meetings and events, booking of meeting room, food, group guests reservations, invitation letters, application letter for Visa
Responsible for office supply management
Support for company car drivers coordination of car maintenance with car service providers
IT management (coordination of all IT issues in Schaffhausen and Basel office servers, printers, projectors, basic level support)
Incoming and outgoing mail
Other support tasks, as needed
KV graduation (Handelsschule or equivalent apprenticeship)
3-5 years of administrative experience
Ability to work effectively with all levels of the organization
Excellent communication skills (both oral and written)
Ability to think ahead and anticipate the needs of others in the field
Organizational and time management skills, a must
Familiarity with SAP / BW, a must
