To join our European HQ team in Kuesnacht (Switzerland), we are looking for a

Team Assistant with Office Management Experience 100% (w / m / d)

The Role :

In this challenging and exciting position as Team Assistant you will provide administrative support to several members of our Senior Management Team and you will be responsible for the European HQ office reception services including office management.

In this role, you will have the opportunity to collaborate across the organization.

Responsibilities & Qualifications

Responsibilities :

  • Provide day to day support to our senior management and executive team in all operational and organizational topics
  • Complex calendar management, meeting coordination for the senior management team
  • Organization of internal and external meetings, events and workshops including taking minutes where required
  • Be the first contact person representing the company professionally towards our clients, customers and visitors in person and on the phone
  • Lead the reception & office management services including our purchase order process
  • Responsible for the Environment, Health & Security (EHS) on site to ensure safety and first aid measures are in place and leading the evacuation procedure
  • General office administration duties, confidential correspondence and ad-hoc requests
  • Absence cover for Reception & Office Management and Executive Assistant
  • Qualifications :

  • Several years of working experience in a similar position in an international working environment. Experience in supporting a team of several senior executives is a plus.
  • Office management & reception experience is a must
  • Outstanding written and verbal communication skills in English and German, any other language is an advantage
  • Strong communication and interpersonal skills with high level of discretion, confidentiality and integrity
  • Customer and solution-oriented mentality, approachable, team-oriented and flexible
  • Excellent calendar management and organization skills
  • Strong MS Office skills (Outlook, Word, Excel, Power Point), knowledge in SAP is a plus
