HRIS Project Manager

The Aga Khan Foundation (AKF) is looking for an experienced Project Manager that can drive the New HRIS Implementation project and processes from start to finish.

The role can be based either in Geneva or London (Lisbon is also an option).

As a Project Manager, you will lead AKF Global HR engagements, including HRIS system implementation, business process design, vendor selection, change management, and current-state assessments of technical and functional nature.

The Project Manager will work with AKF’s operational and technical resources, technical program managers, client business owners, and HR partners at all levels to understand strategy, requirements, and timelines.

This HRIS project will span multiple geographies as we build and deploy solutions for our Headquarters and multiple offices undergoing an HR transformation.

The role will report to AKF’s Global Human Resources Manager and other AKF leaders at the global and country levels to ensure AKF’s Global HRIS implementation roll-out and roadmap.

This includes developing and implementing country-level strategies to strengthen collaboration with other AKF’s HR systems’ managers in multiple countries.

Key Responsibilities :

  • Lead and support HRIS implementation throughout the project lifecycle (Initiate, plan and design, execute, monitor & control, and close).
  • Lead RFP process, including software vendor and implementation partner selection.
  • Develop, manage, and maintain the Project Work Plan in collaboration with vendors, implementation partners and other team members, including :
  • Assess current state, identify gaps in the current plan, develop a schedule
  • Resource plan and allocation
  • Tracking and Status (e.g., critical path, milestones, key activities, percent complete)
  • Ensure all project requirements and objectives are documented
  • Responsibilities may include resource allocation and all phases of the development life cycle (i.e., feasibility study, requirements, analysis, ROI, business plan, design, testing, and implementation planning).
  • Design project roadmap and activity-level plans, track progress and provide overall communication and coordination.
  • Manage project timelines, deadlines, and deliverables, including ensuring appropriate review and approvals from stakeholders.
  • Develop and execute plans under delivery time, budget, and implementation constraints.
  • Provide day-to-day project management to ensure successful system delivery by establishing clear goals, identifying potential issues / risks, and developing contingency plans.
  • Work with business stakeholders and other team members to define business requirements, produce and verify the completeness of documentation, track outstanding items, meet with team members and external vendors to provide status updates and capture concerns, and perform other duties as assigned.
  • Profile :

  • Excellent verbal and written communication skills, including the ability to share ideas with the business and internal IT team.
  • Deep understanding of software development methodologies, such as Agile and Waterfall methodologies.
  • Ability to be flexible, agile, and work in a fast-paced environment. Experience working with vendors and multiple businesses, and technical stakeholders.
  • Expertise in running medium to large-scale HCM / HRIS projects.
  • Proven ability to lead and facilitate multi-stakeholder processes.
  • Excellent understanding of Project Management processes and procedures.
  • Excellent written and verbal English.

  • Preferred Skills, Certifications, Experience
  • Masters degree in related field or equivalent experience with a minimum of 7 years of experience as a Project Manager with preferred experience in Human Capital Management disciplines.
  • PMP or other advanced certification / degree highly desirable.
  • Must be proficient in Project Management tools.
  • Nice to Have Skills :

  • Familiar with industry standards (non-profit), current and emerging technologies, and business processing mapping.
  • Experience with HCM / HRIS implementations such as Oracle PeopleSoft, Oracle Cloud, Microsoft Dynamics solutions, UKG / Ultimate software and Workday.
  • Highly organized and able to handle multiple priorities and ensure the project meets time and cost estimates.
  • Ability to translate requirements between non-technical stakeholders and technical teams engaged in the project.
  • Excellent planning skills and a forward, strategic thinker. A team player can coordinate tasks on a project of significant scope and complexity in a fast-paced environment that includes numerous internal and external stakeholders.
  • Ability to work with and influence a wide range of cross-functional work teams and leaders.
  • Candidates must have the legal right to work in Europe or the UK.
