Org. Setting and Reporting

This position is located in the Executive Office, Office of the High Commissioner for Human Rights, Geneva.

Responsibilities

Under the direct supervision of the High Commissioner, the incumbent will be responsible for the following duties :

  • Takes full responsibility for time management and scheduling, including smooth workflows, prioritization of urgent business;
  • Receives, assesses and refers telephone and personal inquiries.
  • Organizes and services meetings, makes appointments, receives visitors;
  • Prepares travel in Umoja and logistics;
  • Manages all incoming and outgoing correspondence, including of a confidential nature;
  • Provides assistance in support of meetings (room booking, preparation of folders);
  • Researches and compiles information as relevant / needed;
  • Serves as focal point for the coordination and monitoring of assigned programme implementation activities;
  • Drafts correspondence and communications related to all aspects of tasks assigned;
  • Provides assistance in the organisation of the office of the supervisor and staff meetings and calendar of activities as well as compilation and circulation of reports / documents;
  • Proof-reads and edits correspondence and other documents for action by the supervisor;
  • Develops, maintains and updates the electronic filing system and the Executive Office’s shared-drive;
  • Serves as a communication link between the supervisor and senior staff;
  • Generates various periodic and ad hoc reports and other background material to facilitate inspection and other reviews;
  • Provides guidance and training to staff supporting Sections / Units in the Division;
  • Performs any other duties as required.
  • Competencies

    Education

    High school diploma or equivalent is required.

    Work Experience

    At least seven (7) years of experience in programme / project operations and administration is required.

    Experience in programme planning and budgeting is required.

    At least four (4) years in the United Nations common system is desirable.

    Experience working on Enterprise Resource Planning (ERP) systems such as Umoja is desirable.

    Experience working in Inspira is desirable.

    Experience working in a front office is desirable.

    Languages

    English and French are the working languages of the United Nations Secretariat. For the position advertised, Fluency in English and French is required.

    Knowledge of another official United Nations language is desirable.

    Assessment

    Evaluation of qualified candidates may include an assessment exercise which will be followed by competency-based interview.

    Special Notice

    Extension of the appointment is subject to extension of the mandate and / or the availability of the funds.

    This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country.

    A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment.

    Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
