We are currently looking for an Assistant who will be responsible to provide administrative, organisational and coordinative support to the Head of Technical Operations Center of Excellence and the Team.
This is an exciting opportunity as we are a nimble team supporting a high growth global business. In this role you will be a key member among the team and you will act as primary contact for external and internal stakeholders.
Your tasks and responsibilities will include, but not be limited to :
Coordinate meetings and events (research, planning, and execution)
Manage the Head of Technical Operations Center of Excellence’ electronic diary, meetings and prepare correspondence
Manage and handle purchasing requests, offers, RFPs, supplier contracts and invoices
Organize business trips for the Head of TechOps Center of Excellence and other team members
Budget preparation and controlling
Work closely with internal company Assistant network
Promote good working spirit and develop social cohesion within the team by organizing lunches and various eventsThe successful candidate brings strong communication and interpersonal skills and enjoys being part of an international and diverse team.
Furthermore, following requirements complete the profile of the ideal candidate :
Minimum of 2 years of experience in administrative / assistant role
Fluent in English, good in German. French is an asset
Strong time management skills, can work under pressure and meet deadlines
Good project management skills
Strong experience of MS Office tools (Word, Excel, PowerPoint, Outlook) & SAP
Good interpersonal and presentation skills, digital savvy
Able to maintain confidentiality and security of both corporate and personal information
Demonstrated ability to work in a collaborative team environment
Process and Results oriented, flexible to act with a sense of urgency if needed
Good understanding of cultural behaviors and ways of working in headquarters, sites and affiliatesYou are able to prioritise tasks and work in an efficient, organised and structured way.
