The division engages substantively with other UN and intergovernmental organizations, the private sector and civil society in order to lead and inform policy deliberations. It develops practical contributions to demonstrate the benefits of intellectual property in the search for solutions to major challenges facing humanity, including global health, climate change, biodiversity and food security. b.    Purpose Statement The main role of the incumbent is to undertake and coordinate a full range of office and management support and administrative tasks, ensuring an efficient information flow and smooth financial administration of the division. The work involves providing administrative and logistical services related to the activities of the division, and the planning, organization and follow up of meetings and other events. c.    Reporting Lines The incumbent works under the supervision of the Division Director.   d.    Work Relations The incumbent liaises extensively with work units throughout the Organization to initiate requests, obtain approvals/clearances, and to process and follow up on administrative matters. He/she is in contact with governments, permanent missions and other external parties to obtain/share information and confirm arrangements.   2.      Duties and Responsibilities The incumbent will perform the following principal duties: a.   Control and monitor the Division's accounts and propose relevant adjustments for optimal budget utilization; perform operations for authorizing and effectuating expenditures; consolidate budget data, compile statistics, prepare financial reports and update databases; process and follow up on administrative and financial actions in the computerized financial / travel / human resources systems; provide budget-related support for work plan and other reporting documentation. b.   Prepare and draft official, routine and non-routine correspondence based on knowledge and understanding of operational issues; carry out quality control of outgoing documents for accuracy, grammar and style ensuring adherence to WIPO standards; proofread and edit papers/documents prepared by Division staff and external consultants. c.   Keep informed of WIPO management decisions and key issues related to the work of the division and act as the division's customer service focal point to respond to general enquiries on activities and work program; manage generic email accounts. d.   Lead support services for organizing meetings and symposia, including responsibility for preparation of agenda, circulars or invitation letters, implementation of logistics, travel, arrangements, preparation of cost estimates and financial arrangements for participants; review and clear all files with financial implications before they reach the Director. e.   Initiate action for renewal and recruitment of staff and consultants, including drafting related correspondence, providing inputs for job descriptions, and following up with concerned work units; verify, for administrative purposes, completeness of work done by consultants, fellows and interns. f.    Ensure the Division's filing, reference systems, administrative databases and other information management systems are maintained and accessible; review efficiency and make recommendations for improvements. g.   Keep informed of changes to administrative procedures and rules and provide orientation and guidance to Division staff and consultants on the full range of procedural and administrative requirements. h.   Perform basic research on assigned topics by selecting and evaluating a variety of documents, summarizing pertinent material, collecting and analyzing data and preparing background materials for papers, studies, briefs and reports. i.    Assign, supervise and review the work of support staff as required; determine priorities and provide instruction and guidance in resolving more complicated issues. j.    Perform other related duties as required.  3.      Requirements EducationEssentialCompletion of secondary education.  ExperienceEssentialAt least eight years of office support work experience covering a wide range of administrative activities, including financial work and the organization of meetings.
